Privacy Policy
Kepler Study respects your privacy. This Privacy Policy explains what information we may collect, why we collect it, how we use and protect it, how long we keep it, and the choices and rights available to you.
1. Who Controls Your Data?
Kepler Study is operated by Neo Setungoane, South Africa, who is the responsible party for personal information collected through the Kepler Study application and website.
For privacy questions, requests or concerns, you can contact us through the support options provided in the application.
The current support email is keplerstudy@gmail.com.
2. Information We Collect
We collect information that is necessary to provide and improve Kepler.
Depending on how you use the application, this may include your name, email address, account information, selected university, selected modules and other information you choose to provide.
We may also collect information about your use of Kepler, such as study activity, completed topics, progress information, preferences and interactions with application features.
If you upload notes, lecture slides or other study materials, we collect that content along with information about when it was uploaded and, where relevant, which module or topic it relates to.
If you use the recording feature, we collect and store the audio you record, together with any text and study notes generated from it.
If you voluntarily submit feedback, complaints, suggestions or support requests, we may collect the information contained in those submissions.
We may also receive technical information associated with your device or application session, such as device-related information, application version, operating-system information and diagnostic information.
If you subscribe to a paid plan, we collect information about your subscription status through our payment provider. We do not collect or store your card details. Payments on the web are handled entirely by Paddle.
3. Information You Provide
You may provide information when creating an account, selecting your institution or modules, using study features, uploading notes or study materials, submitting feedback, contacting support or using other Kepler functionality.
You should only provide information that is reasonably necessary for the feature you are using.
Do not submit passwords, financial information, highly sensitive personal information or another person's private information through free-text fields or uploaded material unless the application specifically requires it.
4. How We Use Your Information
We may use your information to create and manage your account.
We may use your information to provide personalised study experiences, including displaying your selected university, modules, study content and progress.
We may use information to maintain and improve application functionality, troubleshoot technical problems and develop new features.
We may use information to communicate with you about your account, important service notices, support requests and other necessary service-related matters.
We may use information to manage your subscription, verify whether it is active, and process renewals through Paddle.
We may use aggregated or de-identified information to understand how Kepler is used and improve the service.
We do not use your information for purposes unrelated to providing, maintaining, securing or improving Kepler unless permitted by law or otherwise explained to you.
5. Study and Progress Data
Kepler may store information about your academic activity within the application, such as selected modules, topics studied, completed activities, study sessions and progress.
This information allows Kepler to provide features such as progress tracking, personalised study experiences and study recommendations.
Study activity, including mastery percentages and progress indicators, reflects your activity within the app. It is not an official university academic record and is not a prediction or guarantee of any exam result or grade.
6. Notes and Materials You Upload
If Kepler's upload features are available to you, any notes, summaries, lecture slides or other material you upload ('User Content') is stored by Kepler and is private to your account.
Your uploaded material and any AI-generated notes, quizzes, flashcards and recall sessions built from it are visible only to you. They are not shown to other students using the same module.
You are responsible for making sure you have the right to upload any material you submit. Do not upload lecture slides, textbook material, past papers or other content that you do not personally own or have permission to use.
You can delete any of your uploaded material or generated notes at any time through the application, and the associated content will be removed from our active systems.
7. AI and Your Information
Kepler relies on artificial intelligence to provide its core study features. When you upload study material or ask a question, relevant content is sent to third-party AI providers so that they can generate a response.
Kepler currently uses the following AI providers: DeepSeek, Google Gemini, and Figviz.
DeepSeek generates study notes, practice questions, quizzes and flashcards from your uploaded material.
Google Gemini powers the Ask Tutor feature and grades Active Recall answers.
Figviz generates labelled diagrams for certain concepts where a visual aids understanding.
If you use the recording feature, the audio and any text derived from it are processed by our service providers described in this Policy so that study material can be generated for you.
We send content to these providers only to generate a response for you. These providers process that content under their own terms and privacy policies, which we encourage you to review.
You should avoid submitting unnecessary personal, confidential or highly sensitive information into AI features.
AI-generated responses may be incorrect and should not be treated as an official academic record, authoritative source, or guarantee of any exam outcome.
8. Cookies, Analytics and Similar Technologies
Kepler and its service providers may use technical identifiers, analytics or similar technologies where necessary to operate, secure and improve the application.
These technologies may help us understand application performance, diagnose errors and understand general usage patterns.
Where legally required, we will provide appropriate choices or obtain consent for technologies that require consent.
9. Where Your Data Is Stored
Kepler uses cloud-based infrastructure to store and process information required to operate the application.
Depending on the service being used, information may be stored or processed on servers located outside your country of residence.
Kepler uses Firebase services provided by Google for authentication, cloud database, cloud functions, file storage, push notifications, app integrity checks, crash reporting and analytics.
Kepler also uses RevenueCat to manage subscription status and Paddle to process payments on the web. Payment card details are never stored by Kepler.
The exact location of individual data may depend on the configuration and infrastructure of the relevant service.
10. Who May Receive Your Information?
We do not sell your personal information.
Information may be processed by service providers that help us operate Kepler, including:
• Google (Firebase authentication, database, storage, functions, messaging, analytics, crash reporting and app check).
• RevenueCat (subscription management).
• Paddle (payment processing on the web, acting as our Merchant of Record).
• DeepSeek, Google Gemini, and Figviz (AI processing for notes, tutor, recall grading and diagrams).
These providers may only receive information necessary to perform their services for Kepler or as otherwise permitted by applicable law.
Information may also be disclosed where required to comply with applicable law, legal processes, security requirements, or to protect the rights and safety of Kepler, its users or others.
11. Data Security
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Security measures may include authentication controls, access restrictions, encrypted connections and security features provided by our infrastructure providers.
All data sent between the app and our servers, and between our servers and third-party AI providers, is encrypted in transit.
No internet-based service can guarantee absolute security. You should use a strong password where applicable and avoid sharing your account credentials.
12. How Long We Keep Your Data
We retain personal information, including uploaded study materials, only for as long as reasonably necessary to provide Kepler, maintain your account, fulfil the purposes described in this Policy, resolve disputes, enforce agreements or comply with legal obligations.
When information is no longer required, we may delete it, anonymise it or securely dispose of it where reasonably possible.
Some information may remain in backups for a limited period after deletion before those backups are overwritten or securely deleted.
The exact retention period may vary depending on the type of information and the reason it was collected.
13. Account Deletion
You may delete your Kepler account and all associated personal information, including material you have uploaded, at any time from within the application by going to Settings, then Account Settings, then Delete Account.
You may also request deletion by emailing keplerstudy@gmail.com from the email address associated with your account. We will action deletion requests within 30 days.
We may need to retain certain information where required by law, necessary to resolve disputes, prevent fraud or abuse, enforce agreements or protect legitimate security interests.
Deletion may not immediately remove information contained in temporary backups or records that must legally be retained.
14. Your Privacy Rights
Depending on your location and applicable law, you may have rights relating to your personal information.
These may include the right to request access to personal information we hold about you.
You may have the right to request correction of inaccurate or incomplete information.
You may have the right to request deletion of your personal information in certain circumstances.
You may have the right to object to or request restriction of certain processing.
You may have the right to request a copy of certain information in a portable format where applicable.
Where processing is based on consent, you may have the right to withdraw that consent.
You may also have the right to lodge a complaint with the relevant data-protection authority.
15. South African Privacy Rights
For users in South Africa, personal information may be protected under the Protection of Personal Information Act 4 of 2013 (POPIA), where applicable.
Subject to applicable legal requirements and exceptions, users may have rights relating to access to, correction of and deletion of personal information, as well as rights concerning objections to certain processing.
Privacy requests can be submitted through Kepler's support channels.
16. Children's Privacy
Kepler is designed for university students and is intended for users aged 18 and over.
We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided personal information to Kepler, contact us so that we can review the situation and take appropriate action, including deleting the account.
17. Third-Party Services
Kepler integrates with third-party services as described in this Policy, including Firebase (Google), RevenueCat, Paddle, DeepSeek, Google Gemini, and Figviz.
These providers may process information according to their own privacy policies and contractual or legal obligations.
Kepler is not responsible for privacy practices of independent third-party services that you access outside the Kepler application.
18. Links to Other Services
Kepler may contain links or references to external websites or services.
When you leave Kepler and use an external service, that service's privacy policy and terms may apply.
You should review the privacy practices of external services before providing them with personal information.
19. Feedback and Support Communications
If you contact Kepler support or submit feedback, we may retain the communication and information necessary to respond to you, investigate the issue and improve the service.
Support communications may be used internally to identify recurring problems and improve Kepler.
20. Data Transfers
Because Kepler relies on cloud and technology providers, your information may be processed in countries other than the country in which you live.
Where applicable, we will take reasonable steps to ensure that international transfers are handled in accordance with applicable data-protection requirements.
21. Data Breaches and Security Incidents
If we become aware of a security incident involving personal information, we will assess the incident and take reasonable steps to contain, investigate and address it.
Where required by applicable law, affected users and relevant authorities may be notified.
22. Changes to This Privacy Policy
We may update this Privacy Policy when Kepler's features, data practices, technology or legal requirements change.
The 'Last updated' date at the top of this page indicates when this Policy was most recently revised.
Where appropriate, significant changes may be communicated through the application or another reasonable method.
23. Subscriptions and Payments
Kepler offers optional paid subscriptions (Standard and Premium) that unlock additional features. Paid plans are currently purchased and managed on the web at keplerstudy.com, and payments are processed by Paddle.
Paid plans renew automatically at the end of each billing period at the price shown at the time of purchase. You can cancel at any time by opening Subscription in Kepler and choosing Manage or Cancel Subscription. Cancelling stops future renewals. Refunds are described in our Refund and Cancellation Policy.
Kepler does not collect, store or have access to your payment card details. On the web, Paddle is the Merchant of Record: it processes your payment, collects the billing details it needs (such as your name, email, country and tax information) and handles taxes and refunds under its own privacy policy.
Kepler receives from RevenueCat and Paddle only the information needed to know whether your subscription is active or expired. This is used solely to unlock the correct features in the app.
24. Contact Us
If you have questions about this Privacy Policy, want to exercise a privacy right, or have concerns about how your information is handled, contact Kepler through the support options in the application.
